The Invoice section in Businessware provides excellent facilities for processing invoices, proformas and quotation transactions. By integrating fully with all other sections in the system, information can be pulled directly from your Customer and Stock sections to make invoice entry as quick and easy as possible.
As you enter items you can pull descriptions, prices and discounts from your Stock section. You are kept informed of the customer's credit status, stock shortages and mark-up warnings if you sell below a specified profit margin. You can also enter free-text lines enabling you to enter an unlimited amount of text, useful for service invoicing. You can also combine products and free-text lines on each transaction.
You can select to pay (or part pay) the transaction immediately if entering a cash transaction and invoices can be recorded for non-account customers. You can update your accounts and stock module immediately or later. You can also "undo" updates to your accounts and stock to enable you to go back and edit transactions even after posting.
Quotations and proformas can be converted into full invoices at any time and transactions can be copied to prevent retyping on repeated transactions.
You can print each invoice as many times as you require. By using the Document Designer you can design as many document layouts as you like and select the one you want to use. For example you can have a product invoice layout, a service invoice layout and a layout for delivery notes. We supply a number of pre-defined layout templates with the software.
Reports include customer and product histories that enable you to see who bought what, when, for how much and, importantly, how much profit did you make? Summary reports also enable you to see who has bought how many of which product within a specified period. A takings summary report and graph give you a summary of takings by sales category and payment method for any period you specify ie daily, weekly etc.
